How to connect your HubSpot portal

The HubSpot Superadmin Audit is a read-only app. It connects to your portal, counts how many records meet each of 10 conditions and gives you a report with those numbers, a score for each area and what to fix first. It does not write anything in your portal and does not keep your access key.

The tool is at c2suite.com/en/resources/hubspot-superadmin-audit. It is free and does not ask for a credit card.

Before you start

  • You need to be a super admin of the portal, or have the App Marketplace Access permission. Since October 2023, HubSpot has required that permission to install any public app, listed or not. Without it, the permissions screen will not let you continue.
  • Have the email address where you want the report at hand. We ask for it before sending you to HubSpot, and that is where your copy arrives.
  • There is nothing to install and no account to create with us. This service has no users or passwords.

Connecting, step by step

  1. Go to the tool's page, enter your email and click the connect button.
  2. HubSpot shows you its own permissions screen. There you choose the portal you want to audit, if you have more than one.
  3. Check the domain. That screen shows the verified domain of whoever is requesting access, and ours is c2suite.com: the same site you came from. If you see any other domain, do not continue, and let us know.
  4. HubSpot will ask for an extra confirmation because the app is not listed in its Marketplace yet. This is a normal step for unlisted third-party apps; it does not mean anything is wrong.
  5. You grant the permissions and come back to our site. The read takes a few seconds. It is slow on purpose, so that it does not use up the request limit your portal shares with your other integrations.
  6. Your report appears on screen and arrives by email. You can also download it as a PDF from the same page.

Which permissions it asks for, and why

They are all read-only. It does not ask for a single write permission, for content, or for anything “just in case”: every permission on this list is used by a specific check in the report.

Required

Without these there is no report, so HubSpot does not let you install the app without them.

crm.objects.contacts.readCount contacts that meet a condition: no associated company, no email, no owner.
crm.objects.companies.readCount companies without a domain, and serve as the denominator for contacts without a company.

Optional

You can choose not to grant them. If you do not, the report is shorter and tells you exactly what was left out and why: that area is left out of the average instead of counting as zero.

crm.objects.tickets.readCount open tickets without an owner or not updated recently.
automationCount how many of your workflows are turned off. It reads the list only, never what the workflows contain.

Exactly what it reads from your portal

Each check is a search that returns a number, not a list of records. Results are requested one at a time and only the total is kept, so the number of requests does not depend on the size of your portal. This is everything that is counted:

Data and properties

  • Contacts without an associated company — out of contacts
  • Contacts without an email — out of contacts
  • Contacts without an owner — out of contacts
  • Companies without a domain — out of companies

Pipeline

  • Open deals with a past close date — out of open deals
  • Open deals not updated in 60 days — out of open deals
  • Open deals with no associated contact — out of open deals

Tickets

  • Open tickets without an owner — out of open tickets
  • Open tickets not updated in 60 days — out of open tickets

Automation

  • Workflows turned off — out of workflows

It also reads the creation dates of your contacts, grouped by quarter, to show you when what you have came in. That is context and does not count toward the score.

What it does not do

  • It does not write anything. It does not create, change or delete records, properties, workflows or lists.
  • It does not copy your records. No query brings back contacts, emails, names or amounts. Only counts.
  • It does not keep your access key. The token is used during the read and then discarded. There is no database, no accounts and nothing to revoke on our side. In practice, this means your report cannot be opened again, which is why it is sent to you by email. That email is your copy.
  • It does not subscribe you to anything. It is one email, sent once, with your report.

How to remove access

From your own portal, under Settings → Integrations → Connected Apps. Find the app named “Diagnóstico Superadmin de C2Suite” and remove it. You do not need to ask us or let us know.

Since the key was already discarded when your report finished, removing access does not delete anything we have: it closes the door from then on. If you want us to delete your email and the counts from your report from our CRM, write to contacto@c2suite.com.

If something goes wrong

An area shows as “could not be read”
The report tells you which of three reasons it was. If you have no records of that type, there is nothing to fix. If you did not grant that permission, you can connect again and grant it. If the read hit your portal's request limit, try again in a while.
The permissions screen will not let me continue
It is the super admin permission. Ask whoever manages the portal to make the connection, or to give you App Marketplace Access.
I closed the tab before the report loaded
Connect again from the beginning. Since we do not store anything, there is no half-finished report to recover.
The email did not arrive
Check your spam folder. If it is not there either, write to us and we will send it again.
